In my last tip I showed you that tags can be used to filter information easily and quickly. But having to recreate this each time you need it is not an efficient use of your time. Saving a view with the tag, or tags you need, is a great idea. Let’s look at how we can do that.
You have a list of projects and tasks that you would like to filter via tags. Once you have selected the tags you require, you can save this view as a New custom View.
Firstly, have a filtered view prepared.
This is very simple with just one tag, but very important as it shows me everything I have tagged to be billed to my clients. (Have you ever been in a situation where you have forgotten an item off the bill because it got lost on a long list of things?)
Notice, too, that there is also a task that has been tagged non-billable, which shows in this view too.
Save Custom View
- Move to the [Save as button].
- Click on the pop out[New Custom View].
You are presented with this screen.
- Give this view a memorable name and type in a description to help others understand it more easily after you.
- If appropriate, you can select the accessibility box at the bottom to enable viewing this view in other projects.
To customise further, you can add columns to your view. The default options are: Task list, Milestones, and Created Time, but there are a host of others to choose from.
How to add items to the display list
In the right-hand window, move your mouse to the right of the item you desire until an arrow appears.
By clicking on this arrow, the item is moved to the left-hand side of the list that will be available for the custom view.
- Select all the items you require in the order you need to see them on the left-hand side window.
- Once you are happy with your selected options, select the [Save button].
Look at the top left of this screen, just under the tabs.
This view is grouped by milestones and filtered using the Filter by TAG – Billable.
Create as many as you need, and then you have a simple way to filter using these saved views. Have fun. Work smart, not hard.
