It allows employees to ask for guidance and initiate requests using a natural language interface no matter where they are or what time it is. The Pipefy AI for HR virtual assistant provides a modern, user-friendly interface for the Pipefy HR Service Delivery application that integrates with HRIS, recruitment, timekeeping, and payroll systems.

It enables organisations to use a natural language interface to give instant access to policies, forms, data, and other information. Employees can now request these without having to go through any menu system or log into the different tools that organisations often utilise.

How does Pipefy AI for HR Service  work

Mark Pinard, Chief Marketing Officer, confirmed how Pipefy for HR works, saying, Pipefy AI for HR was designed to improve employee experiences and give HR professionals more time for strategy and to engage with employees. Pipefy AI for HR does this by reducing manual tasks and providing instant access to data. It also centralizes access to information, policies, and requests for employees. Users can also create requests via the chatbot.

“Pipefy AI’s user interface is intuitive and easy to use for everyone, including business teams, HR professionals, and non-technical users. Pipefy AI for HR is accessible through the platform interface to make it easy for HR teams to build, automate, and manage their processes, as well as access data and improve experiences for the employees they support.”

Importantly, users are not restricted to using the Pipefy interface. They are able to access the AI assistant using Slack as well. Pipefy will also add support for Teams later in the year.

The assistant comes with a number of already learned workflows. It can also respond to information requests that the AI intuitively understands. Users can submit requests for vacation or other time off or expenses. It has access to information such as:

  • Employee PTO balance
  • Research open roles within the company
  • Ask questions about company policies

The assistant will also understand the seniority of the person asking the question, enabling HR leaders to gain insights into the workforce by asking such questions as “What are the top factors contributing to turnover in the sales department?” and “How can I improve my employee requests SLA.”

A deeper look

Pipefy has built Pipefy AI using Open AI Chat GPT-4 using the Azure platform. It means that employee and corporate data is held safely by the cloud giant. Organisations are assured data is secured and remains private.

The platform is also not fixed on what Pipefy has built. Enterprise Times asked whether users can build their workflows for the AI assistant. Pinard replied, “Pipefy AI for HR builds new workflows in seconds, based on user requirements. That includes common HR workflows such as onboarding and PTO requests, among others. Any workflow that Pipefy AI creates can be easily modified at any time by users who have administrator permission.

“HR workflows can also be created manually, either from scratch using a drag-and-drop interface or by starting with a fully customizable template, available in the template library.”

Pipefy for AI is now generally available for customers. There is an additional cost, and Pipefy shared that this is based on “the customer’s specific needs, per resolution.”

Pipefy will continue to improve its AI platform. I asked Pinard what customers can expect on the roadmap in 2024.

He answered, “We’ll be adding support for Microsoft Teams in 2024. As well as expanding Pipefy AI’s capabilities to automate more types of tasks and retrieve data from even more sources.”

The increasing importance of AI

During the pandemic organisations turned to flexible working to increase staffing retention and improve recruitment. In 2024, AI will be seen to increase efficiency within organisations. The ease of use of systems powered by HR will likely help retention and recruitment.

The efficiency improvements from AI are already accepted by many. A Pipefy survey noted 79% of business and IT leaders believe that generative AI will improve process automation efficiency by more than 25%.

Enterprise Times: What does this mean

For organisations with multiple HR tools, the Pipefy low-code platform can provide the glue that holds them together. The HR virtual assistant allows organisations to deliver a frictionless user experience. One that also makes life much easier for employees and HR teams.

The onboarding and learning curve for employees is minimal. The potential time saved from the assistant answering the basic questions and requests that can inundate and paralyse HR teams is huge. How quickly can Pipefy measure and report on the difference the new tool makes to customers?

Even without the AI Assistant in place, customers already see huge benefits from the Pipefy platform. Rafael Jefté, Operations Supervisor at Alvaz, noted, “With Pipefy, we can email our field employees automatically. They receive confirmation as soon as their request is sent. When we approve or deny the request, they’re notified immediately. It may seem simple, but considering each request demands several email messages, and multiplying that by over 100 requests, our team would be losing 3 to 4 hours a day.”
